Imagine if you bought a Ferrari and only crawled around the city at 50 kilometres per hour, never opening up on the open road. You definitely wouldn’t be getting full value for what you paid for it.
Or you bought an expensive smartphone and only used it to make telephone calls: never going near the camera, listening to music or using any apps.
Not only would you be wasting your money, but you would be missing out on many features that could improve your quality of life.
But that is what happens to many companies when they buy Microsoft software for basic necessities like Office and email and fail to realise the potential of their full license.
The issue has become even more prevalent as employees have shifted to remote working and companies have invested in Office 365 in order to use Teams for video calls and communication.
Office 365 has become a bit of a beast: there is so much in it. People simply don’t know about some of the other features that can improve efficiency and workflow.
The obvious one is Sharepoint for document sharing and collaboration. Then there is Microsoft Power Automate (formerly Flow) for improving workflows and Microsoft Sway, a free tool to create visually attractive and sharable documents.
And Microsoft Power BI enables firms to simply build apps to improve how data is viewed and shared: anyone using Excel can get value from it.
This is all value that companies are paying for and not using. It is a terrible waste. I often get companies saying that they want to use Sharepoint and I tell them that they have already got it – and have had it for three years! They become very enthusiastic when they know that they can use Sharepoint for sharing files, while individuals have access to One Drive.

There are a series of games and badges that are addictive and teach the end-user to help themselves. And it is potentially extra revenue for our partners.
